Privacy Policy
Cargo Motives ("Cargo Motives", "we", "us") operates a marketplace connecting cargo customers with transporter companies in Tanzania, through our mobile app and website. This policy explains what personal information we collect, why, who we share it with, how long we keep it, and the rights you have — including under Tanzania's Personal Data Protection Act, 2022 and its regulations. We are the data controller for the information described here.
1. Information we collect
You give us
- Account information: your name, phone number, email address and password (stored only in hashed form), plus your language, currency and notification settings. A Customer may add a business name and logo, and anyone may add a profile photo.
- Customer identity verification: your National Identification (NIDA) number and a photo or scan of your NIDA card, collected when you sign up (or later, if your account predates this check).
- Company verification (transporter companies): business name, registration number, TIN, business licence and certificates, physical address and map location, and one representative's full name, position, national ID number and ID document.
- Trucks and drivers (transporter companies): truck registration numbers, photos and documents (registration card, insurance, permits), and drivers' names, phone numbers, licence numbers and photos.
- Jobs: pickup and drop-off addresses and map points, cargo details, permits you attach, instructions a company sends its driver, and proof of delivery (photos and the recipient's name and phone number, entered by the driver).
- Messages, reviews and support: messages between the parties to a job, messages with our support team, and the ratings and reviews you give and receive.
- Payments: the amount, status, date and mobile money provider of each Cargo Motives Plus payment. We never see or store your mobile money PIN — payment is handled by our licensed payment aggregator.
We collect automatically
- Truck location: if a transporter company connects a GPS provider, we receive the positions of its connected trucks. We use them while a truck is on an active job to show the customer where their cargo is, detect arrival at pickup and drop-off, and keep a route history for that job. We do not collect the location of your phone.
- Device and security information: a push-notification token for each device you sign in on, each signed-in session's device name and last-used time, when you last used the app, and standard server logs (such as IP address and request times).
Camera and files
The app uses your camera or files only when you choose to — to scan or photograph your NIDA card, or to add documents, photos or proof of delivery. A scanned NIDA card is kept only in the app's memory until it is uploaded; the scanner's temporary copy on your phone is deleted straight away.
Stored only on your device
Some things never leave your phone: saved addresses, dark mode, your default payment method, your Find Jobs filters, and in-progress form drafts (so a half-filled form isn't lost). Drafts never include passwords, verification codes or NIDA numbers, and drafts and filters are cleared when you sign out.
2. How we use it, and why we're allowed to
| Purpose | Legal basis |
|---|---|
| Running the marketplace: posting jobs, bidding, assigning trucks and drivers, tracking, messaging, ratings and support. | Needed to provide the service you signed up for (contract). |
| Verifying customers' identity (NIDA) and transporter companies' legitimacy, and detecting duplicate or fraudulent accounts. | Our legitimate interest in a safe marketplace, and your consent given when you submit the details. |
| Account security: sign-in codes, two-factor authentication, session management, lockouts, and suspending accounts that break our Terms. | Legitimate interest; contract. |
| Processing Cargo Motives Plus payments and keeping payment records. | Contract; legal obligations (tax and accounting). |
| Reviewing and resolving disputes, using proof of delivery, permits, messages and GPS history. | Legitimate interest; contract. |
| Emails about your account: a welcome email, sign-in and verification codes, security alerts when your password or email changes, payment receipts, important updates on your jobs, reminders to finish an incomplete sign-up, and confirmation when an account is deleted. | Needed to provide the service (contract); legitimate interest. |
| Optional SMS shipment alerts, and promotional messages — for example our Cargo Motives Plus offer, emailed at most twice a month to people who aren't on Plus. | Your consent — off until you turn them on, and you can turn them off at any time in Settings or with the unsubscribe link in any promotional email. |
| Responding to lawful requests from authorities. | Legal obligation. |
Automated checks. Some checks are automatic — for example, a company's verification may be approved automatically when its details pass our checks. Anything the checks can't clear is reviewed by a person, customer NIDA details are always reviewed by a person, and you can ask for any decision about your account to be reviewed by our team.
3. Who can see it
- The other party to a job: a customer and the company assigned to their job see each other's relevant contact and job details, and the customer sees the truck's live location while the job is active. A driver sees only the job they were sent a link for. Other users never see your NIDA number, ID documents or verification documents.
- Our team: only staff who need it — for example, the people who review identity and company verification — can see identity documents, through short-lived links. Admin actions such as approvals and suspensions are logged.
- Service providers acting for us:
- Selcom — mobile money payments for Plus;
- Beem Africa — SMS (sign-in codes, Driver Links, optional alerts);
- our email provider — account codes, important notifications and reminders, and promotional emails if you opted in;
- Google Firebase Cloud Messaging — push notifications;
- Mapbox and OpenStreetMap-based services — maps, address search and route distances;
- the GPS tracking provider a transporter company chooses to connect (such as Wialon, Traccar or Tracksolid Pro).
- Authorities, when the law requires it, or where necessary to protect someone's safety or investigate fraud.
We do not sell personal information, and we do not share it with advertisers or data brokers. Our website and app contain no advertising or third-party tracking.
4. Transfers outside Tanzania
Some of the providers above process data on servers outside Tanzania (for example, push notifications and maps). We use them only with appropriate safeguards in place, as the Personal Data Protection Act requires, and only for the purpose described.
5. Security
NIDA numbers and GPS credentials are encrypted; passwords and one-time codes are stored only in hashed form. Identity documents, verification documents, permits and proof-of-delivery photos are kept in private storage and opened only through short-lived signed links. All traffic is encrypted (HTTPS), sign-in is protected by rate limits and lockouts with optional two-factor authentication, and personal identifiers are masked in our technical logs. No system is perfectly secure; if a breach affects your information we will notify you and the Personal Data Protection Commission as the law requires.
6. How long we keep it
- Account information: while your account is open.
- Unfinished sign-ups: if a customer never submits their NIDA card, or a transporter company never submits its company verification, we email a reminder a day after sign-up giving five days to finish, and a last reminder the day before that deadline. If it still isn't submitted, the account is deleted as described below and we email a confirmation. Accounts with any job history are never deleted this way.
- NIDA details: while your account is open. A replaced or rejected card is removed, and an upload from a sign-up that was never completed is deleted within two days.
- Signed-in sessions end automatically after 30 days without use; one-time codes expire within minutes.
- When your account is deleted — by you, or by us after a serious breach of our Terms — we erase or anonymise your name, email, phone number, password, photos, NIDA details and documents, notification settings and device tokens, sign you out everywhere, and email a one-time confirmation to the address the account had. For a transporter company we also erase the representative's identity details and documents, drivers' contact details and GPS credentials.
- Records of past jobs, payments, reviews and disputes are kept in anonymised form, because the other party to a job, financial record-keeping and any open dispute still depend on them. A company's business registration details are kept to prevent fraudulent re-registration.
- Server logs are kept only for a short period, for security and troubleshooting.
7. Your rights
Under the Personal Data Protection Act, 2022 you can:
- access the personal information we hold about you and get a copy of it — tap Settings > Download my data in the app (or Account > Download my data on the website) and we email it to you;
- correct it — most details can be edited directly in the app;
- delete it — delete your account any time from Settings > Delete account;
- object to or ask us to restrict how we use it, including asking for a person to review an automated decision;
- withdraw consent for optional uses (SMS alerts, promotions) in Settings — this doesn't affect anything done before;
- complain to the Personal Data Protection Commission if you think we've mishandled your information.
To use these rights, contact us through Help & Support in the app or at support@cargomotives.com . We'll confirm who you are before acting, and respond within the time the law requires.
